Locate the actual gap
List the data and actions the process needs. Is the issue duplicate entry, missing access, an unclear source of truth or a workflow the current tool cannot support? These are different problems. Replacing a platform before identifying the gap can move the same confusion into a new system.
Check the connection before committing
Inspect available APIs, permissions, rate limits and export options for the specific product and plan. Agree field ownership, matching rules and what happens when an update fails. Do not assume that two products with integration marketing can support your required process without checking.
Include operation in the comparison
Compare implementation and ongoing maintenance, not just the initial build. A focused integration may preserve useful workflows; a new application may fit a genuinely unmet need. In either case, include monitoring, documentation and an owner. The right choice depends on the constraints of your systems and the team's work.
